Pending approval: held changes

What came from a channel, or what didn't reach it, waiting for your decision.

“Pending approval” keeps the changes Koalab doesn't apply on its own and that wait for your decision. If someone changes a price or the stock by hand on a channel that doesn't lead, that change doesn't get in on its own: it waits for you here. Only changes from the leading channel (“This channel leads”) and from an independent channel on its own catalog get in without asking, and never while paused. Sales don't wait: they lower the stock on their own.

  1. Why something gets held

For four reasons: a channel that doesn't lead changed a price or the stock; a channel's alert stopped a value Koalab was about to send it; a scheduled upload had rows that tripped an alert at their time; or a Source brought changes with an alert, or is in assisted mode. Every channel that leaves changes here tells you in the bell and by email, one per batch, according to the “Changes waiting for approval” row in “Your profile” → “Notifications”.

  2. Read the inbox

Changes arrive by channel and moment; with more than one batch there are tabs at the top. Two cards say what happens if you approve or discard, and below, why it was held, with “Adjust what gets held”. If the batch brings price changes that would reach your other channels, an amber notice says so. You have the search by product or SKU and the “Only with an alert · N” filter; under each product you can read which alert held it.

  3. Approve

The new value enters your catalog and is sent to your other channels, never back to the one it came from. If the batch brings prices that reach other channels, “Approve” confirms first: “This price goes to all your channels” (or “These prices go…”, when there are several), with which ones. If that channel needs a different price, for its fee for example, don't approve it: give it its own markup in its settings. What you approve stays in the history under your name and can be undone.

  4. Discard

“Discard and restore the value” writes your catalog's value back to the channel, only in the field that changed, and both say the same again. “Discard without touching the channel” leaves each one with its own value. Your other channels get nothing. If a row says “May be a sale”, check your orders before restoring the value; Koalab asks you for “Restore anyway”. Approving it, instead, takes those units off as a sale.

  5. Decide with context

One row per product, with regular price, sale price and stock, each with its “Current” and its “New”. “New” can't be edited: you approve what the channel proposed. “If I approve” says which channels it reaches. The whole batch is decided at once: “Approve all N” (“Approve the change”, when there is only one) and the discards also cover what you don't see because of the search, the filter or the page. If a change in the batch doesn't suit you, fix it afterwards on the product's page.

  6. What got stopped on the way out

The reverse case: a value from your catalog that didn't go out to a channel because that channel's alert stopped it. At the top it says “N changes that did not reach…”. Approving writes it to that channel; your catalog doesn't change. “Discard all N” leaves each one with its own value. There is no “Discard and restore the value” here: the channel never received anything.

Details worth knowing

  • What you approve shows in “Revert a batch” as “Approved changes from a channel” and can be undone. Anyone on the team with the member role or higher can approve, including what they uploaded themselves: it may be their job. Alerts stop mistakes; they don't control who approves.
  • If someone changed a price or the stock by hand on a paused channel, the change is here: from a paused channel none of that gets in on its own. Its sales do lower the stock on their own.
  • “Unmatched” is the neighbouring screen and it is a different thing: that is where notices that came from a channel go when we couldn't tell which product they mean. Until you resolve it, their stock doesn't move.
