Upload a price and stock list
The fast lane for updating prices and stock from a simple file.
Uploading a list is the short version of the bulk update: just each product's code, its name, its prices and its stock. For the daily price tweak you don't need more. The price you upload is the price your customer pays: if your supplier sends you costs, work out your selling price first.
List or bulk update?
The list only changes prices and stock of products that already exist. The bulk update carries every column, the cost, images and new products. If in doubt, start with the list.
Download the template
In Changes → “Upload a list”, next to “No file yet? Download your products:”, click “Excel” (or “CSV”, from the Starter plan). It brings your real products: “Koalab ID”, “SKU”, “Name”, “Regular price”, “Sale price” and “Stock”. The name is only a guide: it isn't changed. At the end come “Stock at export” and “Exported at”, the stock and the time of the download: don't delete them. An empty cell leaves that value as it is.
Upload the file and say which column is which
Excel or CSV, up to 25 MB. Koalab recognizes the columns and you fix whatever is needed in “Which column is which”. With your own file, one column that identifies the product (usually the SKU) plus the price or stock columns you want to change is enough.
Mock-up: the chosen file and the column mapping Review and confirm
“Review the N rows” opens “Review changes”, with how many rows “change with no issue” and how many “break one of your rules” (a very large price increase, for example). Those stop: tick the ones you do want and, when confirming, type “apply”. A SKU that doesn't exist isn't applied and doesn't create products. If a stock you changed also moved in Koalab since the download, the row says so and applies your change on top of what is there; “Use …” writes the file's number. Where you didn't touch the stock, what was sold is respected.
Check it in Movements
“Apply or schedule N” → “Apply now” changes Koalab and your channels right away. If something trips your alerts, “Before saving, check this” comes up first; a price of 0 only goes through if you tick that you allow it. It reaches the channels where the product is listed, except paused ones. When it finishes you land in Movements; to undo it, “Revert a batch”.
Details worth knowing
- In “Match by” you choose how each product is recognized: “SKU”, “Koalab ID” or “WooCommerce ID”. If the file has a “Koalab ID” column, “Koalab ID” comes selected; if not, “SKU”. “WooCommerce ID” looks for the product linked to that number in your store: if it isn't linked, or it is in two WooCommerce stores, the row is left out and counted. For the other channels, use the SKU.
- If no row finds its product, Koalab warns that the file may belong to another catalog. If you have an independent catalog, there is one tab per catalog at the top: check the right one is selected.
