Schedule an upload
Leave a list ready to run on its own at the moment you choose.
A scheduled upload is a list you upload and review today that applies itself whenever you say; for example, new prices that take effect on Monday at 6:00. Before scheduling it you accept a condition, and it's worth understanding.
Prepare the list
The same flow as uploading a list: file, mapping, review. When confirming, next to “Apply now” you get “Schedule the update”. If a row trips your alerts, it asks you when scheduling: nobody will be watching when it runs.
Pick the date and time
You pick the day on the calendar and the time in the two boxes; below, “Will run at” shows the full moment. The time is in “Your organization's timezone”, which you choose in Organization → “Market” → “Time zone” (by default, “Automatic, the one your channels give”). At least ten minutes from now. To enable “Schedule”, tick the amber box: when the time comes, Koalab compares again against the catalog at that moment.
Mock-up: calendar, time and the checkbox you have to tick to be able to schedule It stays pending and visible
Scheduled uploads wait in “Scheduled uploads”. Until they run you can “Cancel” from the list, or open the detail to see what it will write, “Reschedule” or “Cancel the upload”. With the viewer role you can see them, but not touch them.
It runs on its own, on time
At the chosen time it applies just like “Apply now”, in Koalab and on your channels. If the list came from a download, the stock is applied on top of what there is at that time: what was sold in between is respected. A row that trips an alert at that time isn't applied and waits for you in “Pending approval”. What was applied stays in “Revert a batch”. If it fails, it isn't retried: it leaves “Scheduled uploads” and we tell whoever scheduled it and the admins, in the bell and by email, with the reason. If whoever scheduled it can no longer edit the catalog, it is cancelled without applying and the notice goes to the admins.
If it goes well, an email only if something was held
If it goes well there is no email, unless rows are left waiting for approval: then we write to those who can approve them, with how many were applied and how many wait. When each person gets it is their choice, in “Your profile” → “Notifications”, row “Changes waiting for approval”.
Details worth knowing
- Scheduling requires the Starter plan (up to 3 uploads in the queue), Professional (up to 10) or Business (no cap), and a role that can edit the catalog: with a viewer role the button is disabled.
- You can have several at once and nothing warns you if they overlap: if two touch the same product, the value of the one that ran later stays.
- New names brought by a Source aren't scheduled: they only change with “Apply now”.
